Refund Policy
Traineeship Fees
In accordance with the Department of Education, Training and Arts' user choice policy, a student will receive a refund for their co-payment fees for the units of competence that they have yet to commence at the date of cancellation.
Fee-for-Service Fees
After enrolment, course cancellations will receive a refund, less $200 administration fee and the cost of any units of competence commenced up to that time. The cost of each unit of competence is calculated on its nominal duration.
Cancelling students are also required to return all course material that have not been compelted at that time. These materials must be returned at the student's expense and in the same condition as provided. Failure to return these materials will incur further fees.
Access and Equity Policy
The YMCA Institute will not discriminate against suitably eligible people participating in its courses.
Trainees with disabilities including learning needs, will be provided with additional support, and where required flexibility of assessment. It is important that needs be identified early in the traineeship. This will enable the trainee to achieve early success and satisfaction with both on-the-job and off-the-job components of the course.
At the Induction session, the YMCA Training Officer will use a questionnaire and written activities in an attempt to identify possible language, literacy or numeracy needs. This is performed in consultation with the trainee and the employer who are requested to discuss any concerns.
If a possible need for additional support is recognised this will be discussed and support services can be arranged.

Recognition of Prior Learning
Recognition of Prior Learning (RPL) is the acknowledgement of your current skills and knowledge obtained through:
- Life experiences
- Education
- Work experience
- Previous training
It does not matter how, where or why the skills and knowledge have been obtained. RPL benefits students by:
- Reducing duplication of learning
- Completing studies in a shorter time
- Increases career options
- Encourages multi-skilling
The RPL process involves you looking carefully at your experiences and what you have learnt from them. You can then use this information to formulate an RPL application to the YMCA Institute. If your application is approved you will receive Competency for the applicable parts of your Traineeship.
If you feel you qualify for RPL, please discuss with your trainer or tutor who will assist you with the application process, and will provide advise on the evidence you will be required to submit.
Credit Transfer
Credit Transfer is the credit awarded for competence achieved by a student in another accredited course or program which is part of a nationally recognised qualification.
If a student has already been formally assessed as competent in any of the Competencies listed on the Training Plan and can provide evidence of this, then he/she can apply for a Credit Transfer for that subject.
A Credit Transfer is awarded in cases where a direct match of competencies is formally achieved and formal evidence such as an academic transcript or statement of attainment can be supplied.
No fee is payable for Credit Transfers. No tuition or assessment material is supplied for any subject for which a credit transfer has been achieved.
Appeals and Grievences
The YMCA Institute strives to deal with grievances as soon as they emerge, in order to avoid further disruption or the need for a formal complaint. If students have a grievance with any aspect of their training, they are encouraged to speak immediately with a YMCA Training Officer to resolve the issue.
If the student is not satisfied that the issue has been resolved, he/she may appeal to the Appeal and Grievance Committee as follows:
Appeals / Grievence - RPL Applications
A student may appeal an RPL decision by writing to the Appeals and Grievance Committee. An appeal must state the grounds and reasons of the appeal and must reach the Appeals and Grievance Committee within fourteen days of of the date of the correspondence advising the student of the RPL decision.
Appeals / Grievence - Student Results
A student may appeal against a result by writing to the Appeals and Grievance Committee. An appeal must state the grounds and reasons of the appeal and must reach the Appeals and Grievance Committee within fourteen days of the date of the official statement of results.
Appeal/Grievance - Penalty imposed due to plagiarism/cheating
A Trainee who has been penalised due to plagiarism/cheating may appeal to the Appeals and Grievance Committee.
An appeal must state the grounds and reasons of the appeal and must reach the Appeals and Grievance Committee within fourteen days of the date of the correspondence advising the student of the penalty.
The Appeal and Grievance Committee may ask the student to attend an interview and/or provide documented evidence relating to the appeal. The student will be notified of the result of their appeal within four weeks.
